How EVOLVE kept a decentralized migration moving

Migrating independently managed accounts

A real estate client asked EVOLVE to preserve email, files, and other business content while more than 100 agents moved to new accounts. Because the agents managed their accounts independently and Jeremy did not have admin access to connect them centrally, each participant had to authorize access to both the old and new accounts.

Jeremy needed a process that could be explained quickly to busy people with different levels of technical confidence. This was one of the main reasons he chose VaultMe.

Most participants connected their accounts without substantial help. VaultMe showed Jeremy which accounts had been authorized, allowing him to prepare migrations for the people who were ready.

Getting everyone to act was harder. Some agents completed the process immediately, while others needed repeated emails, individual follow-ups, and deadline extensions. Jeremy could not depend on the entire group becoming ready at the same time.

Keeping the migration moving

The migration took place over several months through a series of batches. Sometimes, only one or two new participants were ready. At other times, Jeremy could migrate groups of ten or twenty accounts. As soon as another group completed the connection process, he launched the next batch.

Jeremy maintained the wider participant list via email and a spreadsheet, including notes on reminders and participants who chose not to participate. VaultMe gave him a clear view of the accounts that were connected and ready to migrate.

This separated the coordination work from the migration itself. Jeremy still had to contact people and answer questions, but participants who were ready did not have to wait for everyone else.

Over the course of the project, Jeremy migrated more than 100 accounts this way.

From one project to a repeatable service

The project showed Jeremy that he could manage client migrations without building a dedicated migration practice.

Since completing the original project, Jeremy has returned to VaultMe for other client migrations, usually involving a handful to a few dozen accounts. These projects arise occasionally when an existing client needs help with an organizational change, and VaultMe gives them a familiar way to take them on.

Migration remains one part of EVOLVE’s broader work, but Jeremy now has a process he understands and a tool he is comfortable returning to. When another client needs accounts moved, he can take on the project, set a clear price, and run it with confidence.
